Updated By
The Updated By field automatically records the name of the user who last modified a record. It is updated by the system every time the record is saved and cannot be edited manually.
How to Add
- Open a table and click Fields in the top bar.
- Click + Add existing field.
- Select Updated by from the list.
- Click Save.
Capabilities
- Automatically capture the user who last edited a record
- Display the last editor's name in the table and on the record view
- Use the field in filters and automations to identify who last modified a record
Use Cases and Examples
Change accountability — In a shared table where multiple team members can edit records, Updated By shows who last touched each entry without requiring manual notes.
Review workflows — Use Updated By to confirm that the right person reviewed or approved a record before it moves to the next stage.
Keep in Mind
- The field always reflects the most recent edit. It does not keep a history of all users who have modified the record.
- It records the logged-in user at the time of the last save, not who the record is assigned to.
- If a record is updated via automation, the value may reflect the automation's context rather than a specific user.
FAQ
1- Can I see all users who have ever edited a record?
No. Updated By only shows the most recent editor. It does not maintain a full edit history.
2- Does Updated By change when the record is first created?
It may initially match Created By, but it will change to reflect the last user who saves any modification to the record.
